Summary:
Manage the operations of the IT procurement and inventory management function. Manage the maintenance of records and databases containing information regarding licenses, warranties, and service agreements for the organization's hardware and software. Minimize organizational cost through product standardization and tracking. Track quality throughout the product lifetime. Possess familiarity with a variety of industry concepts, practices, and procedures. Relies on extensive experience and professional acumen to plan and accomplish goals. Perform a variety of tasks with limited guidance and supervision. Leads and directs the work of junior team members accordingly. A wide degree of creativity and latitude is required. Typically reports to a head of a unit/department or project manager.


Responsibilities:

Responsible for all aspects of the Asset Management Lifecycle to include: Procurement, Shipping and Receiving, Inventory Control, License Management, and Inventory Decommissioning or Disposal.  The Asset Management Specialist will assist with the daily management of software and technology-related hardware asset records within the organization.  These duties include planning, monitoring, and recording software and/or hardware licenses to ensure compliance with vendor contracts by administering and managing IT hardware and software maintenance.  In order to do this the Asset Management Specialist must audit, update, and verify the existing asset information.  This person will generate reports, monitor inventory changes, and communicate with internal and external customers.  The Asset Management Specialist will also control and update a yearly Maintenance Binder to provide all contract, contact, and maintenance information for use by the technicians to gain assistance from vendor support.  The Asset Management Specialist will attend review meetings weekly to provide procurement/asset management status updates.  Other duties as assigned.
  • Responsible for hardware and software maintenance renewals
  • Responsible for daily tracking/updating of asset inventory
  • Manage Asset Inventory process
  • Develop/update process and procedures for improved efficiency
  • Control Inventories (including making updates for additions and deletions)
  • Work with minimal direction while maintaining high attention to detail
  • Able to troubleshoot issues and provide common sense solutions to management staff
Minimum Qualifications:
  • Knowledge of Asset Management software and/or Inventory-Tracking systems (ability to provide recommendations for updating current system)
  • Conversant with current best practices, industry developments and trends for IT Operations
  • Strong knowledge of Microsoft Word, Excel, Access, Project, Visio, and SharePoint
  • Knowledge of asset management lifecycle practices, in particular for infrastructure assets
  • Candidate should have inventory control/tracking experience and purchasing experience is desired
  • Strong written and oral communication skills, strong interpersonal skills, must be extremely detail oriented
  • Experience at working both independently and in a team-oriented, collaborative environment is essential
  • Ability to respond rapidly to shifting priorities in organizational requirements, product demands, and purchasing timelines
  • Ability to elicit cooperation from a wide variety of sources
  • Adept at conducting research into product- and service-related issues
  • Must be able to lift 50 pounds
  • 5-7 years experience in Asset Management/Shipping & Receiving/Inventory Control
Preferred Qualifications
  • Experience in Remedy or Tivoli Asset Management Software
  • Knowledge of ITIL / ITSM
  • Understanding of Configuration Management practices
 
Education/Certification Requirement:
  • A Bachelor's degree or equivalent in Computer Science, Information Systems, Engineering, Business, or other related scientific or technical discipline with 5 or more years related professional experience. (Education can be substituted for 9 years of experience).
